1. eBay and “eBay pont” feeds

Your eBay feed is now available under your Marketplace tab. You will also see a feed named “eBay pont”, which is a bridge feed.

Your eBay feed does not allow for optimizations (automatic rules, search/replace and segmentation). We have therefore created a feed called eBay pont (free of charge) in order to use these functionalities and optimize your catalogue. The optimized feed generated by eBay Pont is used as the source feed for the eBay feed. You can consider it as a bridge between your original source feed and the eBay feed.

Your API logins, the template, the default options and the category matching have to be configured in your eBay feed.

Be aware: once you have applied a modification on the eBay Bridge feed, you need to wait until the eBay feed is indexed for it to be available in your ads. You can increase the indexation frequency of your eBay feed or contact or support for a manual indexation.

2. eBay API logins

2.1 Get your eBay token

You need to authorize Lengow to connect to your eBay account in order to publish your ads. For this, you need to, first disconnect yourself from your eBay account. Then, in Lengow, go to Feed Management/API Logins of your eBay feed and click on the button “Get the eBay token”.
You are redirected to your eBay account. Follow the identification procedure until you see a message indicating that Lengow is now authorized to connect to your account. The recuperation of the token will thereafter be launched automatically (this will be done every hour). In case of a problem to get the token, please contact Lengow support.
As long as the button Get the eBay token is visible, it means that Lengow did not get your token. The token is a code starting with “AgAAAA…”.
Warning: If the token is not in Lengow, you will not be able to list your products on eBay.

2.2 Provide your identification information

You need to fill in the fields with your eBay account information:
Store ID: If you do have an eBay store, fill this field with your store name. If you do not have a store, please leave this field empty. (To check if you have a eBay pro store, please go to your eBay account, and if you see a red door icon nearby your store name, it means that you have an eBay store, you can then fill in the field store id with your store name.)
Login: Fill the field with your eBay account login (email)
Password: Fill the field with your eBay account password
Paypal email: Fill the field with the email address used for your Paypal account

2.3 Automatized processes

You can now activate/deactivate the automatic listing update and creation for your eBay feed.
We strongly advise you to activate these features once your eBay feed is configured and after you made some publication tests.
The 6.4 point details how automatized processes work.

3. Product ad template

Lengow allows you to display a product ad template on eBay. You can choose a free template created by Lengow amongst those available or create your own template (based on HTML code). In Feed management, tab “Ad template”, you have 2 options:

  1. Choose a free template from the available templates
  2. Edit your own HTML template using our wysiwyg

3.1 Lengow’s ad and store templates

3.1.1 Select a template

If you want to use one of Lengow’s template, click on “Choose your template from those available”. Then select the template you would like to use by clicking on it.

Once you have selected your template design, you can edit the texts (delivery method, payment, terms and conditions) and the template theme and background color.

Apply your template to all your products. Please note that you cannot preview your ad template, you need to publish a product on eBay to check the template.

3.1.2 Select a store template

If you have an eBay store, you can configure a store template in eBay. After designing your ad template, you can download the files to personalize the rest of your eBay store (red arrow below). You can also find our "Customize your own eBay shop templatetutorial.

3.2 Design your own template

You can also create your own template in Lengow, to do so, click on:

You can:

  1. Edit the display of the product sheet via HTML editor by using your data feed fields
  2. Integrate a header of the ad
  3. Integrate a footer stating your general terms and conditions
  4. Activate the widget booster (free of charge on eBay)

4. Default options

You need to set your options by default before submitting your first ads. Go to the eBay feed “Feed management” and tab “Options by default”.

4.1 Location of products

State the city, postal code and country for where your products are located (see screenshot 4.2).

4.2 Payment methods

You can state a payment method accepted for all of your ads by default. Possible options are Credit card, Paypal and Visa. You can also select the immediate Paypal purchase.

* Payment Paypal immédiat (Paypal immediate purchase): if you want to activate the Paypal immediate purchase, tick the box.

Other payment methods (cheque, bank transfer, etc.) are available depending on the eBay category on which the ad is placed. It is therefore not possible to choose these options by default for the overall product catalogue. If you wish to do so, you need to add it either category by category or ad by ad under Products management. To manage it on category level, go to the category page in Products Management. Click on “Information to fill in for this eBay category” and choose which payment methods you want to integrate.

4.3 Ad duration

If you do not have an eBay ProStore, your options are 3, 5, 7, 10 days for fixed-price listings. eBay ProStore allows you to send your ads up to 30 days and a Good ‘Til Cancelled for fixed price listings.

Be aware - If you modify this option, it will only be applied to unpublished products. - The time is always “eBay time,” which is Pacific Time, not your local time. - Every time you publish an ad on eBay you might need to pay a fee to eBay.

4.4 Handling time

Fill in the time you need to prepare and ship the order. The total delivery time is calculated by eBay given this data and the chosen transporter.

You can define here a value to apply to all your products. You can also choose a field from your data feed if you want to apply different values depending on your products.
Only these values are accepted: 1, 2, 3, 4, 5, 10, 15, 20, 30. You can also add or optimise your feed data in the eBay bridge feed.

4.5 Delivery conditions

You can give up to 5 different delivery methods, 2 for the domestic market and 3 for the international market. Internationally, it is possible to define a geographic zone (Global, Europe, North America,).

You also have the possibility to indicate an additional delivery fee per quantity if the buyer orders several quantities of the same product. eBay will add for each additional quantity bought the given value to the delivery cost. If several different products are ordered or if this field is empty, the standard shipping cost will be added for each product (eBay restriction).

4.6 Return policy

Fill in here your return conditions, return window in days, reimbursement method as well as who is paying for the return.

4.7 Private Listing

This option allows hiding certain purchases from the eBay profile of the buyer. This can be useful for certain categories, e.g. sex toys.

4.8 EAN / UPC

Depending your products and countries you are selling them, one of these code may be mandatory: EAN, UPC, ISBN ou MPN. Refer to the appendix for more details.

5. Mapping the eBay and ProStore product categories

5.1 Categories mapping

You now need to match your feed’s product categories with eBay’s. Go to Products management in your eBay feed. If your feed has different category levels and the one used in the Products management is not suitable, please contact Lengow support to indicate the right category level.

Select an eBay category in the thesaurus by clicking on the title (never copy and paste as identifiers are inserted). Save the modification by clicking on the corresponding button.

5.2 Managing category attributes

The attributes of the eBay products allows the internet user to filter eBay ads according to attributes like size, colour, etc.

You have the possibility to inform about product attributes by category by inserting the value in a field in your source feed. Certain attributes are compulsory and must be given. If this information is missing, an error eBay appears on the concerned product line. Other attributes are optional and there is no obligation to give these values.

You have to fill in values as described below. Click on Information to fill in for this category,if eBay proposes

6. Managing eBay ads

To access the product list, go to “Products Management” and click on the button “View products in this category“ . You can thereafter see the individual products.

6.1 Edit a product

You can edit the ad, By clicking on the product title. The following actions are possible:
- Edit the ad template (attention, all modifications made on the general template will be applied to all ads and erase these made on the individual ad).
- Set the listing type (buy it now mode)
- Set the duration of the ads as well as accepted payment methods
- Set the delivery methods and costs
- Indicate the eBay product characteristics for the chosen category

6.2 Post an ad online

6.2.1 How to publish an ad

In order to post an ad online, the product must be active.
The activation indicator is blue in this case and the stock must be higher than 0. You can thereafter click on the “post your products online” button.

Once the ad is online, a magnifying glass will appear and let you visualize the ad directly on eBay. The post online button is available as well on the category level in the product management. It will allow you to post all products with one click. The submission of the ads may take some time depending on the number of products sent.

6.2.2 Publication error

If there is a publication error, a red exclamation mark will appear:
Roll your mouse over the symbol to read the error message. Contact support if you cannot correct it.

6.3 Update an ad

Be aware that some changes are forbidden by eBay, please check the following for more information: http://pages.ebay.co.uk/help/sell/revising_restrictions.html

If you want to apply modification to your product even if it's forbidden by eBay, you have to unlist and relist on eBay.

To manually update a listing, click on the publication button.

6.4 Automatic listing update and creation

From the eBay page Feed management/API logins, you can activate/deactivate the automatic listing update and creation.

6.4.1 Automatic listing creation

It is possible to automatically publish your items on eBay if they are activated under the Product management page and if they have a stock greater than 0. The automatic listing creation feature is launched every 12 hours (12am and 12pm)

Reminder:

Depending on your seller's status, eBay can charge you for each item listed. You can check in advance with eBay if you will have additional fees for new listings before you activate this option.

If the automatic listing creation is activated, please do not list products manually, but wait for the next automatic listing creation.

Our tip:

Before you activate the automatic listing creation, you have to list one or more items to check if products are well listed on eBay and how the ad appears (delivery costs, product template…). If everything looks ok to you, you can activate the automatic listing creation within Lengow.

6.4.2 Automatic listing update

The automatic listing update runs every 6 hours (12am, 6am, 12pm, 6pm). This process can take a while depending on the size of your catalog.

This feature updates prices, available stocks and remove listings from eBay when the product's stock is 0.

To avoid any restriction issues linked to updates, you will not be able to edit the product's title once the products has been listed on eBay. If you want to edit a product's title, you will have to unlist and re-list the product again on eBay.

6.5 Deactivate a listing

To stop the diffusion of a listing on eBay, you need to deactivate the product and thereafter click on the post online button. You will see a message confirming that the ad has been deleted.

7. Indexing frequencies

You need to configure indexation times for both feeds. Go to Feed Management/Options, select the hours/days you want us to index your data feed.

Keep the CRTL touch pulled down to select several hours/days. For a daily indexation, select ALL. To stop your feed indexation, select NONE.

It is important that your eBay bridge feed gets indexed before your eBay feed. If you set up an indexation for your eBay feed at 6am, set up an indexation at 5am for your eBay bridge feed.

If the automatic options (automatic updates and/or automatic ad creation), you need to set up an indexation every 6 hours. (frequency of the automatic options).

The ad creation/listing updates are launched every 12 hours.

8. Product variation publications

8.1 Implementation by Lengow

If you want to publish your eBay ads with product variations, please notify us. We need to configure your eBay feed to allow for this. If you already have ads online without product variations, you need to delete them as it is not possible to update them.

8.2 Your source feed

Your feed needs to include the “parent product” without any variations (size, colour) and the “child” products with the product variations. The parent product must include all necessary information except variation attributes (size, colour, etc). The feed needs also to include a parent ID. In this case the parent ID will correspond to the unique parent ID:

  • Diesel jeans ⇒ unique ID = 127 : ID_parent = 127 (parent product)
  • Diesel jeans size 36 ⇒ unique ID = 128 / ID_parent = 127 (child product)
  • Diesel jeans size 38 ⇒ unique ID = 129 / ID_parent = 127 (child product)
  • Diesel jeans size 40 ⇒ unique ID = 130 / ID_parent = 127 (child product

8.3 Implementation variations within the solution

To manage the product variation publications on Bay, go to the page listing your product categories and the click on the button “Information to fill in for this eBay category”.

You thereafter need to name your variation. This title will be visible on your eBay sheet (see image). To add a new variation field, you create it and save. The new field will appear under the first field once confirmed. To delete a field, empty the values and confirm.

Be aware: Once the attribute fields are matched, you will not be able to modify them if the ads have been published. If so, eBay doesn’t accept ad updates as the configuration is no longer identical to the one used for the publication.

In the case of mandatory attributes are available for the selected category eBay

You must use the title of the required attribute as title for your variation (ignore the mandatory attribute marks)

9. Delivery costs Management

Lengow allows you to indicate up to 5 different delivery costs and methods for one ad, 2 costs for the targeted country and 3 costs internationally. When we generate your eBay bridge feed, we add virtual delivery columns available in “Field Matching”. In order to use them, you need to give them a value (either by default in Field Matching - column “Personalized field” or by an automatic rule).

You must then choose a mail carrier for each delivery field under “Options by default” in your eBay feed (see paragraph 4.5).

In this example, the merchant has chosen one domestic delivery (Royal Mail 1st), the delivery cost will be taken from his default delivery costs. He has also chosen 3 international delivery modes for 3 different destinations. According to his eBay bridge feed, the 1st international delivery will be charged £10, 2nd one £12 and 3rd one £20.

Be aware: If you select several delivery methods without indicating delivery costs, the value £0 will be applied.

10. eBay Order Management

10.1 Viewing the orders

Lengow collects the eBay orders every third hour. You can see them by clicking on “Feed Management” in your eBay feed and then tab “Orders” or go to the Marketplace order dashboard under tab “Orders Management” (remember to select a time period).

10.2 Modify the status

You can modify your eBay orders’ status directly from your Lengow interface to confirm an order’s dispatch. This information will be sent automatically to eBay.

10.3 Parcel tracking and delivery methods

When you confirm the parcel expedition from your eBay order dashboard, you have the possibility to specify the delivery method and add a tracking number.

Appendix

eBay changes - EAN/UPC/ISBN or MPN codes are becoming mandatory

From 29/06/2015, eBay is changing its requirements regarding mandatory values for selling your products on its platform.

What are these new requirements?

EBay has defined certain types of products for which one of the following four codes is becoming mandatory for selling products on the platform:

  • EAN
  • UPC
  • ISBN
  • MPN

What product categories are concerned?

Which countries is affected?

The requirement will be applied to products sold by eBay US, UK, DE, AU, FR, ES and IT.

How do I find out which of my products requires one of the four codes on eBay?

How do I send my products’ EAN and/or UPC code to eBay via Lengow?

  • I have a field containing my products’ EAN codes in my source feed

Go to your eBay feed in Lengow. In the “Feed Management” section, choose the “Options by default” tab.

At the bottom of the page, ensure, using the drop-down menu, that the field of your source feed containing your products’ EAN codes matches the term “EAN”  .

Click “Send” to save your changes .

  • I do not have a field containing my products’ EAN codes in my source feed

Option 1: I have the EAN codes in another file

  • In your "eBay bridge" feed, create a virtual field and call it “eBay_EAN”. Lengow indexing is required to make this field appear: ask Lengow’s customer support team to force indexing for the feed so you don’t have to wait until the next scheduled indexing.
  • While still in the "eBay bridge" feed, there are two ways for you to fill in this virtual feed:

Solution A: go to the product listing for each of the products concerned and find the EAN code in this newly created field.

Solution B: Lengow’s customer support team can add the values in. Send them a CSV file that contains in the first column: the unique identifier for your product; in the second column: the product’s EAN code. Indicate which field the EAN codes must appear in. You should also ask for your eBay feed to be indexed so these EAN codes are sent to the eBay field concerned.

  • Go to your eBay feed in Lengow. In the “Feed Management” section, choose the “Options by default tab.

At the bottom of the page ensure, using the drop-down menu, that the virtual field created on the "eBay bridge" feed containing your products’ EAN codes matches the term “EAN” . Click “Send” to save your changes .

 
Option 2: I do not have the EAN codes in another file

Contact the manufacturer of the products you are selling to get the products’ EAN codes.

Do you manufacture the products you are selling? Several companies sell lists of EAN codes. We ask that you look online to find the solution best suited to your requirements.

  • I have a field containing my products’ UPC codes in my source feed

Go to your eBay feed in Lengow. In the “Feed Management” section, choose “Options by default”.
At the bottom of the page, ensure, using the drop-down menu, that the field of your source feed containing your products UPC codes matches the term “UPC” .
Click “Send” to save your changes .

  • I do not have a field containing my products’ UPC codes in my source feed

Option 1:  I have the UPC codes in another file

  • In your "eBay bridge" feed, create a virtual field and name it “eBay_UPC”. Lengow indexing is required to make this field appear: ask Lengow’s customer support team to force indexing for the feed so you don’t have to wait until the next scheduled indexing.
  • While still in the "eBay bridge" feed, there are two ways for you to fill in this virtual feed:

Solution A: go to the product listing for each of the products concerned and find the UPC code in this newly created field.

Solution B: Lengow’s customer support team can add the values in.
