1. Introduction – How to manage your Rakuten-Priceminister stock feed on Lengow

​This guide explains how to configure and manage your Rakuten-Priceminister feed. Before starting to set the parameters for your feed, please note the following recommendations.

Here are the steps you need to follow to advertise your products and to retrieve your Rakuten-Priceminister orders:

  • Choose the Rakuten-Priceminister category in which your products will be advertised 
  • Ask Lengow customer support to create a feed corresponding to your chosen Rakuten-Priceminister category. 
  • Separate out the products that you don’t want to advertise, that don’t belong in your chosen Rakuten-Priceminister category or/and your "parent products"
  • Complete the "Field Matching" in order to match your source feed fields with the existing Rakuten-Priceminister fields
  • Modify your stock data attributes with the help of the automatic rules and/or search-replace so that they match the needs of the distributer
  • Organise your categories so that they correspond with the Rakuten-Priceminister categories
  • Set up the options for tracking your stock (indexing frequency, alerts etc.)
  • Enter your API login to send your orders to Lengow
  • Send Rakuten-Priceminister your optimised feed's URL to start promoting your products
  • Manage your orders

All these actions are detailed below.

2. Rakuten-Priceminister categories

2.1 Which categories do your products belong in? 

Rakuten-Priceminister works by categories. Each category has its own structure and corresponds to a precise type of product. For example, it is impossible to sell cameras in the "Decoration Maison" (house decoration) category. 

Rakuten-Priceminister has numerous categories. To find out which universe(s) is/are best for your products, contact your Rakuten-Priceminister account manager or brows their different builds using this link (use your Rakuten-Priceminister connection login).

Then ask for your feed to be created in your Lengow account. 

2.2 Matching EAN feed

The Priceminister - Matching EAN feed allows you to sell products that already exist on Rakuten-Priceminister website. You cannot create new product sheets through this feed. If your products do not exist on Rakuten-Priceminister yet, please select a "product category" feed.

2.3 Open your Rakuten-Priceminister data feeds in Lengow

​Each Rakuten-Priceminister category requires the creation of a new feed in Lengow

Search for the title “priceminister” so that you can see all the available categories.

Alternatively, look for the French flag in the “Marketplaces” section and then choose the Rakuten-Priceminister feed(s) that interest you. 

In Lengow, you will have the same number of feeds as there are Rakuten-Priceminister categories needed for the distribution of your products. Each Rakuten-Priceminister feed is independent of the others and, even though there are similarities, each one needs to be set up separately. 

Now let’s see how to set up one of them.

3. Set up your Rakuten-Priceminister feed

Rakuten-Priceminister asks merchants to use specific attributes in order to reference the products in their market place. You therefore need to duplicate these attributes in your Lengow source feed. 

3.1 Split up your products

Before starting to change your attributes, first you need to filter your products so that you don’t send to Rakuten-Priceminister

  • The products that you do not wish to sell in this marketplace. 
  • The products in your feed that don’t match the type of products normally found in the Rakuten-Priceminister category.
  • "Parent products", if your source feed contains any.

3.2 Match the fields

Rakuten-Priceminister requires a particular feed structure depending on the category chosen. 
In order to proceed with the field matching, you need to go to the page “Feed Management” then “Field matching”:

Check the field matching and complete any missing information. Read the field definitions carefully.

You will often find the information "Se référer à la liste des valeurs" in the field definitions. This list of values is available in your Rakuten-Priceminister back office using this link. Download the template file (item 3) corresponding to your Rakuten-Priceminister universe.

You need to adapt the values of your source feed to the values given in the Rakuten-Priceminister file. To do this, use automatic rules or search/replace

3.3 Category and product type management

Unlike other marketplaces, Rakuten-Priceminister has no taxonomy.

You need to fill in some fields to categorise your products. Depending on the Rakuten-Priceminister universe, there may be one more fields to fill in. "Domaine d'utilisation", "Type de Produit", "Catégorie", "Sous-Catégorie"... What you enter in these fields will categorise your products on Rakuten-Priceminister.

In the "Mode" universe for example, you need to fill in the fields on the tab "Feed Management" > "Matching champs":

  • "Domaine d'utilisation" (mandatory)
  • "Type de Produit" (mandatory)
  • "Type de sport" (required only if you have chosen the "Sport" value in the "Domaine d'utilisation" field)
  • "Public" (mandatory)

The expected values for these fields are in the file available in your Rakuten-Priceminister back office on the tab « Listes valeurs-values» (example below with the 'mode' universe of 06/05/2015, Warning, Rakuten-Priceminister can alter these values and the mandatory fields which must be filled in).

For 'Mode', you also need to specify a variety in the "Public" field with one of these values: "Mixte Adulte", "Mixte Bébé", "Bébé Garçon", "Bébé Fille", "Garçon", "Fille", "Mixte Enfant", "Future Maman", "Homme", "Femme"

Therefore, you need to change your source feed values to match the values Rakuten-Priceminister expects. To do this, you have several options, detailed below.

3.3.1 How to fill in the fields: in Field matching

If you only want to sell one category, product type and/or variety on Rakuten-Priceminister.

For example: you only sell City Hat Men and Women, Depending on the Rakuten-Priceminister file, in the custom fields you can specify:-

  • Domaine d'utilisation: Ville (ie "Town")
  • Type de produit: Chapeau (id "Hat")
  • Type de sport: leave blank

Specify the items below in Feed management / Field Matching:

Remember, by filling in a value in the personalised field of your "field matching", you indicate that value for all of your products. 

  • Public:
    • If you have a field in your source feed to indicate your product's Gender, match it with the "Public" field: If necessary, you can use search/replace,or automatic rules to indicate "Women" or "Men" for your products.

  • If you don't have a field in your source feed to indicate your product's Gender, create a virtual field and fill it with automatic rules to indicate "Women" or "Men" for your products.

3.3.2 How to fill in the fields: in Product management

If each of your categories represents a single Rakuten-Priceminister product type. Use the "Product Management" to rename your categories. To do this, you must:

  • On the tab "Feed Management” >"Field Matching", match your "Taxonomy" field with Rakuten-Priceminister's "Type de produit" field.

Warning: If you have multiple "Catégorie" fields in your source feed, you must match the field used for your products' categorisation(s) (display your categories in "Product Management"). If in doubt, contact customer support Lengow.

  • On the "Product Management" tab, specify the values that Rakuten-Priceminister expects depending on your categories, they will be automatically shown in the Rakuten-Priceminister optimised feed.

3.3.3 How to fill in the fields: using Automatic rules

If you have several categories, product types, and/or variety within a same category of your source feed.

For example, you sell hats, but also handbags and men's and women's shoes ... To fill in these fields, you will need to create one or more virtual fields then automatic rules. Creating a virtual field

Go to the tab "Feed management" >"Source Feed": at the bottom of the page, in "Ajout de colonnes", enter the name of the field you want to create (Warning: the name of your virtual field must be unique, it should not contain special characters such as /: ! & etc.).

Click on "Save" and wait for the next indexing Lengow. Reminder, you can request manual Lengow indexing of your Rakuten-Priceminister feed by contacting our customer support Match virtual fields with Rakuten-Priceminister fields.

Go to the tab “Feed management” > “Matching fields": Match the virtual fields with the appropriate Rakuten-Priceminister fields:

Save your changes on the feed at the bottom of page. Creating automatic rules

Go to the tab "Feed Management" > "Automatic rules": Create automatic rules to populate the virtual fields for all products you want to sell on Rakuten-Priceminister.

To create an automatic rule, use the values in one or more fields from your source feed. Generally, we recommend using your "Catégories" field.

Examples include:

  • : In the field status, enter your source feed values that will select the products related to your automatic rule
  • : In the results, fill in the virtual fields with valid Rakuten-Priceminister values.

Example 2: Check if the automatic rules work

Changes to the solution are visible immediately in your optimised feed. Open the optimised feed to check if the rules work. For some Rakuten-Priceminister feeds there are several fields to complete with automatic rules: "Famille de produit", "Type de produit", "Genre"... As in the example above, you can create a rule to fill in several fields at once. 

3.4 Expense management and delivery methods.

On Rakuten-Priceminister, there are different ways to set up your shipping costs. The choice of method is to be determined with your Rakuten-Priceminister account manager.

  • Charge per item for the entire catalogue
  • Postage costs by weight
  • Postage costs customised by advert

These three options are detailed below.

3.4.1 Charge per item for the entire catalogue

This is to set your postage charges at a basic fixed amount + a price per item. Contact your Rakuten-Priceminister account manager who will send you the table to fill in. There is nothing for Lengow to do.

3.4.2 Enter a weight in grams

This is to set your postage charges at a basic fixed amount + a price per item depending on its weight. Contact your Rakuten-Priceminister account manager who will send you the table to fill it. On the Lengow side, you must fill in the "Poids" field in your optimised feed: I have a weight field in my source feed

On the tab "Feed Management" >"Field Matching", match your "poids" field in your source feed with Rakuten-Priceminister's "Poids en grammes" field. 

Rakuten-Priceminister asks for weights in grams without decimal points or commas. If your source feed contains a weight in kilograms, you must apply a mathematical function that will multiply the value in your field by 1,000 to change the weight into grams, without a decimal point.

Or, the following function: {My_Field_Weight}-{multiplicationRound}-1000

Be careful to use your field title instead of "My_Field_Weight" I don't have a weight field in my source feed

1 /On the tab "Feed Management” >"Source feed", create a virtual field In Lengow

2 / On the tab "Feed Management" >"Field Matching", match your new field with Rakuten-Priceminister's "Poids en grammes" field. 

3 / Fill in the virtual field with your product's weight in grams either:

3.4.3 Postage costs customised by advert

This is to choose the correct amount of postage to be charged for each of your articles. Delivery methods

You must fill in the variables "@mode" and "@auth" to determine the delivery methods that you offer for the products.

  • Variable @mode: Enter your shipping method here. Here is a list of possible values ​​(not exhaustive. For all possible options, contact your Rakuten-Priceminister account manager):
    • NORMAL
    • SUIVI
    • KIALA
    • Other customised shipping methods can be activated by your Rakuten-Priceminister commercial account manager.

Note: The methods EXPRESS_DELIVERY, KIALA and MONDIAL_RELAY must be activated by your Rakuten-Priceminister commercial account manager to be used.

  • Variable @auth: indicate here if the delivery mode is active or not. The allowed values are 1 for active and 0 for inactive. Delivery methods

Rakuten-Priceminister lets you assign two different postage rates following two scenarios called "Leader" and "Follower".

By default an item is "Leader", if this is the only item in the order. In the case of a multi-product order, the item may be "Leader" or "Follower"

"Leader": several articles in the basket and this item has the highest postage costs in the basket; this will be the main postage considered for the order.

"Follower": several articles in the basket, but this article does not have the highest postage costs in the basket; we add the postage "Follower" to the total postage costs of the basket.

The two variables are @lead and @follow. Postage costs "Leader" must be greater than 0.

Note: Cultural products are not eligible for custom postage costs. Formula expected by Rakuten-Priceminister

After selecting the different values, here is an example of the formula to generate: [@mode:NORMAL@auth:1@lead:7@follow:1]

In this example:

  • the normal mode.is active
  • the postage cost for a single product will be €7.
  • the postage cost for an additional product will be €1.

If you want to identify more delivery methods, add them one after the other like this:

[@mode:NORMAL@auth:0][@mode:SUIVI@auth:1@lead:7@follow:1][@mode:RECOMMANDE@auth:1@lead:15,50@follow:5,20] [@mode:EXPRESS_DELIVERY@auth:0]

In this example:

  • the "normal" mode is inactive, no postage cost has been entered.
  • "suivi" mode is active, the postage cost for one product is €7 and €1 for additional products.
  • "recommande" mode is active, the postage cost for one product is €15.50 and €5.20 for additional products.
  • the "express delivery" mode is inactive, no postage cost has been entered.

Tip: You can also replace the numerical values in the fields in your source feed: if your field is "Frais_de_livraison" in your source feed, it will indicate:


So, for the normal mode, I indicated the delivery costs available in my source feed and I indicated an additional delivery charge of €1 per product.

We recommend that you use automatic rules to manage your postage charges. Here is an example:


Note 1: use the automatic rule above with your source feed values.

Note 2: Because of the brackets that are necessary for Rakuten-Priceminister, it is not possible to make mathematical calculations on the rules for these fields. Delivery methods allowed by default

Below are the delivery methods authorised by default in Rakuten-Priceminister:


For other methods, you must contact your Rakuten-Priceminister account manager to activate them.

3.5 Managing variations

Rakuten-Priceminister can manage colour variations and / or size of your products, for some universes. 

For the types of variations allowed for your Rakuten-Priceminister universe, contact your Rakuten-Priceminister account manager.

3.5.1 Product management with variations

Here is how to set up your variations on Rakuten-Priceminister:

1 / Remember, if your source feed contains "parent products", you must segment them for Lengow so that they are not transmitted.

2 / On the tab "Feed Management" > "Field Matching", match the fields:

  • "Référence Parent": the parent identifier of your products (an identifier common to all variations of the same product).
  • "Référence Enfant": your unique product identifier.

3 / Remove notes of variation from the titles of your products. If necessary, perform a search/replace to remove these values dynamically.

Here's an example ad that appears with variations on Rakuten-Priceminister:

3.5.2 Production management without variations

If your source feed does not manage variations or you sell your products on a universe that does not accept variations, here's how: to proceed 

1 / Remember, if your source feed contains "product parents", you must segment them for Lengow so that they are not transmitted.

2 / On the tab "Feed Management" > "Field Matching", match the fields:

  • "Référence Enfant": your unique product identifier.
  • "Référence Enfant": your unique product identifier.

In this way each product will have its own product sheet. For information, the two fields "Référence Parent" and "Référence Enfant" must be filled in.

3.6 Management of promotional campaigns

3.6.1 Creating a promotional campaign on Rakuten-Priceminister

First you have to go to your Rakuten-Priceminister back office to create a promotions campaign. If problems occur, contact your Rakuten-Priceminister account manager or customer support: support.pro@priceminister.com.

3.6.2 Entering discounted products in your Rakuten-Priceminister feed

A field "Code opération promo" is available in the Rakuten-Priceminister structure we have put at your disposal. You must fill in the products you want to put on sale in this field.

You can complete this field in two ways, either with:

  • a struck through price and a reduced price, in this case, the expected format will be, for example: [@id:181@pr:19.99@np:10] with:
    • @id: the id of the campaign created on Rakuten-Priceminister.
    • @pr: the old product price before the sale.
    • @np: the new price or the sale price.
  • a struck through price and a reduction percentage, in this case, the expected format will be, for example: [@id:181@pr:19.99@pct:50] with:
    • @id: the id of the campaign created on Rakuten-Priceminister.
    • @pr: the old product price before the sale. 
    • @pct: the percentage discount.

Here is how to proceed: 

1 /On the tab "Feed management' >"Source feed", create a virtual field in Lengow

2 / On the tab "Feed Management" >"Field Matching", match your new field with Rakuten-Priceminister's "Code opération promo" field. 

3 / Complete the virtual field with automatic rules.

You must establish an "If" condition (condition of the fields) that identifies the products on sale. You can use a promotion indicator in your source feed, or define that all products that have struck through prices are affected, or define a list of product ids separated with pipes (| symbol).

Using the result of this rule, you can call up the price and struck through price fields in your source feed. In this case, your virtual field "priceMinister_code_operation_promo" will become:

  • [@id:id_campagne@pr:{mon_ancien_prix}@np:{mon_nouveau_prix}]


  • [@id:id_campagne@pr:{mon_ancien_prix}@pct:{mon_pourcentage_reduction}]

Warning: Remember to use your own heading fields.

Important Note: the application of mathematical calculations in the promotional campaign's price field will not be possible because of the brackets requested by Rakuten-Priceminister. 

3.7 The options tab

In the “Options” tab of your Rakuten-Priceminister feed, check the various points and modify them if needed. . For more details about this tab, consult our tutorial "Options tab".

3.8 Check the attributes in your updated feed 

To check the data sent to the distributerconsult the optimised feed. All the updating that you have done in Lengow will be visible IMMEDIATELY (automatic rules, search/replace, matching etc.).

Comment: Check your updated feed as often as possible to reassure yourself that your parameters have been correctly applied to your new products. 

4. Integrating your catalogue with Rakuten-Priceminister

4.1 Enter the API user name and password

You must enter your API user name and password in Lengow in order to be able to send your product catalogue to Rakuten-Priceminister. To do this, you need to go to “Feed Management” and then the “API login” tab:

  • Login: Enter your Rakuten-Priceminister seller username here. This is optional.
  • Token Developper: To retrieve it go to your Rakuten-Priceminister back office > "Paramètres du compte" > "Tokens" > "Token de connexion". Click on "Générer un token". Then copy and paste this code.

This step is very important because it decreases your stock level and you avoid cancellations.

4.2 Send your upcoming products

To send your upcoming products, send your optimised feed's URL (cvs format), either:

Reminder, your optimised feed's URL is in the blue box at the top right your Rakuten-Priceminister feed. 

Note: Rakuten-Priceminister provides a tool to test the validity of your Lengow optimized file based on the marketplace specifics. This tool checks for example that all the EAN codes have 13 characters, and that the images are in the format http: // (no https).

4.3 Catalogue delivery frequency

For the indexation frequency of your Rakuten-Priceminister optimised feed, contact your Rakuten-Priceminister account manager. 

4.4 Integration report

Integration reports are available from your Rakuten-Priceminister Back Office or from your Rakuten-Priceminister account manager. 

It is important to consult it regularly to know if your products are well publicised. 

5. Unpublish / delete a product

There are several ways to disable a product on Rakuten-Priceminister:

  • Enter the product quantity as zero (recommended)
  • Carry out a feed segmentation (only if Rakuten-Priceminister updates your feed by overwriting).
  • Turn off the product in "Product Management" (only if Rakuten-Priceminister updates your feed by overwriting).

6. Order management

6.1 Retrieving Rakuten-Priceminister orders in Lengow

Remember, that your orders can be created in Lengow and therefore in your e-commerce back office, it is important to enter your API login in Lengow. 

6.2 Order retrieval times 

Lengow retrieves orders made on the Rakuten-Priceminister site once an hour.  

6.3 Order processing

/ When a new order is made on Rakuten-Priceminister, it appears in Lengow in the “New Order” tab. At this stage, you can either:

  • Accept the order: it will then appears as waiting for expedition (“Orders waiting for shipment” tab)
  • Refuse the order: it will be automatically referred back to Rakuten-Priceminister as a cancelled order. This order does not need to be dealt with; the client will be notified by Rakuten-Priceminister that his/her command has been cancelled. 

Note 1: You have 72 working hours to accept the order, otherwise the order is cancelled.

Note 2: It is possible to automate this step by automatically accepting orders. To do this, go to the “Order Management” tab, >  “Orders automation” tab > tick the box “PriceMinister”.

Save by clicking on “Save Settings”.

Attention: When activating this option, you must be certain that you will be able to honour all your orders.

2 / When your order is on the “Orders waiting for shipment” tab you need to prepare your order and send it to the customer. Once that is done, confirm shipping on the Lengow orders dashboard. It is at this stage that you can activate parcel tracking, which will be transmitted to Rakuten-Priceminister.

Warning: At this stage we forward the acceptance information to Rakuten-Priceminister, you then have 3 days to prepare and ship your order

Note 3: If you use one of our modules or our webservice to import the orders into your e-commerce back office, it is at this stage that the order is importable in your back office. You can then process the order and confirm shipment from your back office.

3 / The order will have the “shipped” status in Lengow:

  • ​when the buyer confirms receipt of the package to Rakuten-Priceminister or ;
  • automatically the 20th day of the next month after the customer placed the order. For example, if a customer placed an order the 5th of January, then it will automatically get the "shipped" status the 20th of February, if the customer hasn't confirm the receipt of the package yet.

6.4 Different statuses of Rakuten-Priceminister orders

As seen previously, orders go through various tabs during processing of your Rakuten-Priceminister orders:

  • New Orders
  • Orders waiting for shipment
  • Orders sent
  • Orders canceled

In each of these tabs, different statuses are seen below the Rakuten-Priceminister order number.

Here is an explanation of statuses by tab.

6.4.1 New orders

”REQUESTED” ou "REMINDED": The order has just been placed by the customer and has arrived on Lengow. You must accept or refuse the order at this status. The order does not contain the shipping amount at this stage.

"ON_HOLD" : A complaint is in progress.

6.4.2 Orders waiting for shipment

COMMITTED: The order is waiting to be shipped. You must validate the order shipment at this status. It is also to this status that you fill in the parcel tracking number, the carrier and the parcel tracking URL.  Shipping costs are available in the order from this stage. The order will stay on the this status until the buyer confirms receipt of the package to Rakuten-Priceminister (or after 35 days after the customer passed the order).

6.4.3 Orders sent

"SHIPPED" : The order has been sent.

”CLOSED”: “Closed” status; the customer has received the order and has not initiated a dispute.

6.4.4 Orders canceled

CANCELLED: The order was canceled by the merchant or the customer.

"REFUSED" : The order was refused by the merchant.

6.5 Rakuten-Priceminister features

6.5.1 Postage costs

Warning: Rakuten-Priceminister provides estimated postage costs and commission amounts, until the order is confirmed as sent by the merchant. As long as the order doesn't have the “expédié” status in Lengow, this information is subject to change. You must therefore confirm the order's shipment then process it with your management tool. Rakuten-Priceminister gives you a 72 hour window after shipment confirmation to ship your order.

Postage costs are estimated prior to acceptance in case of partial cancellation of an order, Rakuten-Priceminister has to calculate which products have postage costs by single products and additional products.

6.5.2 Delivery information

Some delivery methods chosen by the user (SoColissimo, ChronoPost for example) do not allow us to retrieve delivery information (and/or invoicing) for the customer, when the order is associated with the status “New Order”. This information is transmitted to us by Rakuten-Priceminister only when you confirm the shipment.

7. Technical specifications and advice

7.1 Technical specifications

Remove all the carriage returns from your descriptions and comments. Some xhtml tags are permitted: <li><br /><strong> et <em>.

Avoid special characters, they can be misinterpreted by our database.

7.2 Tips to increase your visibility

7.2.1 Product Type: Decoration & Fashion

It is important not to enter different information from that given in the title on the product sheet (colour, size ...), choose the “Descriptif” field for the information and / or colour attribute.

Use different and unique advertising references for each size and colour. Each variation must be entered on separate lines in your file.

7.2.2 Product Type: Phones & PDA, Books, CDs, Picture & sound, IT, Video Games, Video, Household electrical

Give the product number as often as possible: EAN number, manufacturer's reference, ISSN, ISBN ...
